Planning your events is as easy as 1, 2, 3. Use the resources on this page to place your event on the Master Calendar, reserve your room, arrange the details and request publicity.

Initial Planning and Speaker Approval

Before you reserve your space, learn about the approval process for hosting a speaker and other event policies.
Room Reservations and Master Calendar Requests
Reserve the venue for your event and make sure that all public events are published on the College's Master Calendar.

After Your Room Reservation is Confirmed
Please Note: For many campus venues, the room reservation coordinator will help you to document your requests for College Services. Please follow the instructions on the room reservation form before proceeding.
Room Set-up: College Services Request
Plan your layout and communicate room set-up requests to College Services.
Audio Visual Requests
Arrange for music, presentation equipment, and other audio visual needs through the IRC.
ITS Requests
Aside from audio visual requests, some events may require assistance from Information Technology Services (i.e., if guests require Internet access). Please call the helpdesk at ext. 7800 to discuss.
Food and Beverage Requests
Plan for catering needs with Sodexo.
Parking Reservations
Parking reservations are handled by Campus Safety.

Event Publicity
The regulations governing event promotion are explained in the Speech and Expression Policy. After familiarizing yourself with the policy, the following resources may prove useful:
College Communications (formerly Public Relations)
The Office of College Communications may be able to assist in a variety of ways including (but not limited to) informing the College Community via email or contacting the media where appropriate.
Flyer Approval
Students may contact the Office of Student Activities, while faculty, staff, and administrators may contact the Office of the Vice President for Student Affairs.
Mail and Printing Services
The Office of Mail and Printing Services (D'Alvia House) can be contacted at 201-761-7470.
